These Terms and Conditions apply to all bookings of the professional development programme "Copenhagen Urban City Break", 28–30 August 2026 in Copenhagen, Denmark (the "Programme"), organised by:
Anastasia Sukhoroslova, Göhrener Str. 4, 10437 Berlin, Germany (the "Organiser"). The Programme is co-hosted with All Things Urban and Urbcast as content and community partners; your contract is exclusively with the Organiser.
The Programme is a curated professional development programme consisting of expert-led site visits, facilitated sessions, peer learning and networking activities. The Programme is not a package tour: travel to and from Copenhagen, accommodation, meals, drinks and travel insurance are not part of the contract and are arranged and paid for by the participant independently. Included services are listed on the Programme website under "What's included".
Submitting the application form does not yet constitute a contract. The Organiser reviews applications and, at its discretion, sends approved applicants a personal payment link (Stripe). The contract is concluded when the participant completes payment. Places are limited; approval and payment are handled on a first-come, first-served basis among approved applicants. The payment link may carry a deadline; if payment is not made in time, the place may be released.
The participation fee is EUR 590 (professional rate) or EUR 390 (student / recent graduate rate), in each case plus VAT where applicable. The student rate applies to enrolled students and graduates within 3 months of finishing; the Organiser may request proof of status and may reclassify the booking at the professional rate if valid proof is not provided.
Note for consumers: pursuant to Section 312g (2) No. 9 of the German Civil Code (BGB), there is no statutory 14-day right of withdrawal for services related to leisure activities where the contract provides for a specific date or period of performance. This applies to the Programme, which takes place on fixed dates (28–30 August 2026). The voluntary cancellation terms in clause 6 apply instead.
Cancellations must be sent by email to anastasia@allthingsurban.net. The following refund schedule applies, based on the date the cancellation is received:
The participant may at any time name a suitable substitute participant (subject to the Organiser's approval and, where relevant, proof of student status) at no extra charge.
The Organiser may cancel the Programme if the minimum number of participants (8) is not reached, or for good cause beyond the Organiser's control (e.g. force majeure). In case of cancellation by the Organiser, all participation fees already paid will be refunded in full; further claims are excluded to the extent legally permissible. The Organiser may make reasonable minor changes to the programme content, schedule, individual sites and guides, provided the overall character of the Programme is preserved; such changes do not entitle the participant to a refund.
Participants are responsible for valid travel documents, adequate health and travel insurance, and their own fitness to take part in walking-based site visits (approx. 5–10 km per day, outdoors, in all weather). Swimming in the harbour is optional, takes place at designated public harbour baths and is at the participant's own risk. Participants must follow reasonable safety instructions of the hosts and site guides.
The Organiser is liable without limitation for damages resulting from injury to life, body or health caused by the Organiser, and for damages caused intentionally or by gross negligence. In cases of slight negligence, the Organiser is liable only for breaches of essential contractual obligations (obligations whose fulfilment makes the proper performance of the contract possible in the first place and on whose fulfilment the participant regularly relies), limited to the foreseeable damage typical for this type of contract. Liability under the German Product Liability Act remains unaffected. The Organiser is not liable for services arranged independently by participants (travel, accommodation, meals) or for the acts of third parties outside its sphere of control.
Photos and short videos may be taken during the Programme for documentation and the Organiser's own marketing (website, social media). Participants who do not wish to appear in such material can tell the Organiser at the start of the Programme, and reasonable care will be taken to exclude them.
Personal data is processed in accordance with the Privacy Policy below.
German law applies, excluding the UN Convention on Contracts for the International Sale of Goods. If the participant is a consumer with habitual residence in the EU, the mandatory consumer protection provisions of that state remain unaffected. The European Commission provides an online dispute resolution platform at ec.europa.eu/consumers/odr. The Organiser is neither obliged nor willing to participate in dispute resolution proceedings before a consumer arbitration board (§ 36 VSBG). Should individual provisions of these Terms be invalid, the validity of the remaining provisions remains unaffected.

Application form: name, email, city/country, ticket type, LinkedIn profile (optional) and your free-text answer. Legal basis: Art. 6 (1) (b) GDPR (steps prior to entering into a contract). We use this data solely to review your application, communicate with you and administer your participation.
Questions form: name, email and your question, processed to answer your enquiry (Art. 6 (1) (b) and (f) GDPR).
Payment: payments are processed by Stripe Payments Europe, Ltd. (Ireland). We do not receive or store your full card details. See Stripe's privacy policy at stripe.com/privacy.
Form submissions are stored in Google Forms / Google Sheets (Google Ireland Ltd.; possible transfers to Google LLC, USA, safeguarded by the EU-US Data Privacy Framework and standard contractual clauses). Fonts are loaded from Google Fonts and some images from Unsplash when you visit the website, which transmits your IP address to those services (Art. 6 (1) (f) GDPR, legitimate interest in the functional display of the site).
Application and participant data is kept for the duration of the application process and, for participants, as long as required by statutory commercial and tax retention periods (up to 10 years for accounting records). Unsuccessful applications are deleted no later than 6 months after the Programme.
You have the right to access, rectification, erasure, restriction of processing, data portability and objection (Art. 15–21 GDPR), and the right to lodge a complaint with a supervisory authority, in Berlin: Berliner Beauftragte für Datenschutz und Informationsfreiheit.
